Here are our booking conditions. Please read these carefully as they set out the terms of the contract that you will enter into when you make a booking with us. Please contact us if you have any questions.

Coronavirus Refunds

If you make a booking and it is subsequently frustrated because of Government restrictions, we will give you a full credit for a booking at another time or a full refund.

This would cover a full National Lockdown situation, and/or the address on the booking form, and/or Burnfoot being placed into a Tier by Government which had a Do Not Travel restriction placed on it.

The refund guarantee does not cover guests for falling ill with Covid (or any other illness), for a requirement to self-isolate or quarantine, or for a Track & Trace alert preventing them from travelling. Those situations can all be covered by taking out suitable travel insurance, and some options are below.

There are several suitable options which include cover for COVID-related cancellation (see below), or you can look for suitable cover on comparison sites such as www.gocompare.com.

Burnfoot Holiday Cottages is not selling, promoting, endorsing or recommending any particular product, and does not benefit financially from, or have any formal relationship with any of these providers.

Arrival and Departure

Weekly bookings run from Friday to Friday or from Monday to Monday. Short break stays generally run from Friday to Monday or Monday to Friday. If you wish to stay for shorter periods, outside of peak times we can reduce the short break rate by 10%.

On the day of your arrival, your cottage will be available from 4.00 pm. On the day of departure, you must vacate your cottage by 10.00 am.

Payment

Your booking is with Burnfoot Holiday Cottages Ltd, trading as Burnfoot Holiday Cottages. Our registered address is The Old Police House, Millfield Road, Riding Mill, Northumberland, NE44 6DL. Please note, this is not the address of the cottages.

All bookings are subject to written confirmation. A deposit is payable at the time of booking of 25% of the total rent. Once the deposit has been paid and the booking has been confirmed in writing by us, a binding contract will exist between us. Deposits are non-refundable unless we are unable to accept the booking.

The full balance is due six weeks before the arrival day. If this is not received at that time, we have the right to cancel the holiday and the deposit will be lost. We will endeavour to send reminders but are not obliged to. For bookings made within six weeks of the arrival day, the full rent must be paid immediately.

Our prices are inclusive and quoted in Pounds GB inclusive of VAT at the prevailing rate, and are fully inclusive of electricity, central heating, bed linen and towels (please bring your own beach towels). Payment may be made by cheque (payable to ‘Burnfoot Holiday Cottages’), by bank transfer, or by credit / debit card online over the telephone. We do not accept payment by American Express, Diners Club or JCB credit cards.

Bookings made by large groups may be subject to a £250 damage deposit. This will be shown on the booking confirmation email and will be added to the balance payment when that is due. A refund of this deposit will be paid after your booking, subject to the Damages and Breakages clause below.

Occupancy

Only the persons listed in the booking request, or notified to us and accepted by us afterwards, may stay in the property. The maximum occupancy of the property, as shown in our website, must not be exceeded unless agreed in writing prior to your arrival. Bookings will not be accepted from groups of single persons under the age of 25 years without our prior agreement. We do not accept bookings from stag parties.

Cots and High Chairs

A limited number of high chairs, travel cots (without linen) and stair gates are available at no extra charge, but please inform us of your requirements at the time of booking to guarantee availability.

Pets

Well behaved and correctly managed dogs may stay in any cottage except Cheviot View, subject to an additional cleaning charge of £25 per dog. No dogs are permitted in bedrooms or bathrooms. Maximum of 3 dogs in any cottage.

Smoking

Smoking is not permitted within any of our properties.

Cancellation

Once you have booked your stay with us and we have accepted your booking, our agreement is a legal contract and any deposit you may have paid is non-refundable. If you need to cancel, please contact us immediately and confirm it in writing.

For holidays cancelled by you, you will remain liable to us for payment of the total cost of the holiday. However, if we are able to re-let the accommodation, all monies paid in excess of the deposit will be refunded, less a £45.00 administration fee plus any shortfall in the rent achieved, taking into account that we may have to discount the rent to secure a booking quickly at short notice.

Each cottage booked is a separate contract. A cancellation in one cottage will not cover the rent for any other cottage either for that week or any subsequent week.

Insurance

We strongly recommend that you obtain suitable holiday insurance to avoid any loss owing to cancellation.

Non-Availability

We will only cancel your booking if your accommodation becomes unavailable for reasons beyond our control. In this unlikely event, we will attempt to offer you alternative accommodation. However, if this is not possible or unacceptable to you, we will refund all monies paid by you. Whatever the circumstances, our liability to you will not extend beyond a full refund. We shall not be responsible for any consequential loss.

Sub-Letting

The accommodation must not be sub-let and the number of persons using the accommodation must not exceed the maximum number advertised and declared in the booking form.

Inspection and Maintenance

We or our representatives shall be allowed access to the accommodation at any reasonable time for inspection or maintenance.

Damages and Breakages

Please take good care of our accommodation. Whilst we employ housekeepers, guests are expected to leave the cottages in a neat and tidy fashion with all bins emptied and all dishes washed and put away. You are responsible and liable for any breakages which you cause to the accommodation or its contents.

We do not normally charge for minor breakages, but you will be held responsible for repair or making good if we consider that the damage or breakage is significant. Similarly, if a cottage is left in an unsuitable condition, we reserve the right to charge for extra cleaning.

You will report without delay any defects in the property or any breakdown of equipment or appliances therein. Arrangements for repair or replacement will be made as soon as possible.

Anti-Social Behaviour

You agree not to act in any way which might cause disturbance to any neighbouring properties. We will not tolerate excessive noise that disturbs our neighbours or other guests. If we consider that you have behaved anti-socially, irresponsibly, or have caused significant damage to the property or the property of others, we are entitled to terminate your let immediately without a refund.

We do not permit fireworks of any kind due to the distress they cause to animals.

Wi-Fi

The Wi-Fi internet service, and SKY or cable TV, is provided on a complementary basis and whilst we will endeavour to ensure the service is available, we will not be liable if for any reason the service is not available at any time or for any period. Access to the service may be suspended at any time.

Liability

We do not accept any liability for any damage, loss, injury, sickness or inconvenience to any member of your party, or any vehicles or possessions belonging to any of them, howsoever caused, nor shall we be liable for any additional expenses incurred by you whether directly or indirectly caused by or arising from any aspect of your booking with us. Under no circumstances shall our liability to you exceed the amount paid by you to us.

Remedial or Construction Works

If there is ever any building work on our or neighbouring land then we will do our very best to ensure that any disruption or noise is minimal. However, works carried out by contractors remain out of our control so we will not be liable for any expenses or recompense connected to any construction works, such as noise, disturbance, loss of view, loss of use of the tennis court, or inconvenience caused.

We will endeavour to ensure that the content of this website is always accurate, honest, and up-to-date. However, all content, including prices, is subject to change without notice.

Personal Information

All personal information collected through the forms in this website will be used only for the purpose intended, eg to answer an enquiry or to process a booking. In the case of an enquiry, personal information will not be retained for longer than is necessary to satisfy the enquiry made. In the case of a booking, your details may be retained by us for such periods as may be necessary to satisfy your booking and for the proper administration of our own business accounting and taxation.

Mailing List

In the case of our mailing list, we will retain the information supplied by you, comprising only your name and email address, for the purpose of periodically informing you by email of any news, special offers, cancellations or last minute availability.

Removal of Personal Information

We will remove your details from our mailing list on request. Simply send us an email from the address you wish us to delete with REMOVE as the subject.

Cookies

Cookies are small parcels of data stored temporarily on your hard drive while you are browsing a website. These are a standard mechanism used by most websites. Our website employs cookies for the purpose of maintaining user sessions to enable the booking process. Cookies are also used for the purpose of generating access statistics. These provide us with general information about how our website is used. No personal information that would enable us to identify individuals is either obtained or stored, and these cookies are deleted automatically within 24 hours. By using our website with cookies enabled, you consent to our use of cookies.

Links to external websites are provided as a service to our users, e.g. where they contain information that may be of either general or specific interest to persons planning a self catering cottage holiday. However, we are not responsible for the content, views, or accuracy of information on external websites.

Data

You accept that data gathered during the course of this booking may be held on computer.

Applicable Law

When making a booking with us, you agree to comply with the above terms and conditions. In the event of a dispute, the laws of England and Wales shall apply and the English courts shall have jurisdiction.
